Privacy Notice
This Privacy Notice explains how QPArchitecture collects, uses, stores and protects personal data in accordance with the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018. It is intended to provide transparency about how personal information is handled and to ensure that individuals understand their rights.
DATA CONTROLLER AND DATA WE COLLECT
QPArchitecture acts as the data controller for personal data provided to the Partnership. We collect and process only the personal data that is necessary for the delivery of our professional services and the operation of our practice. This typically includes basic personal information such as names, job titles, business addresses, email addresses, telephone numbers and, where relevant, limited fi nancial or contractual information. QPArchitecture does not intentionally collect special category data unless this is strictly necessary and lawful, for example where required to meet health and safety or statutory obligations
LAWFUL BASIS FOR PROCESSING
QPArchitecture processes personal data only where there is a lawful basis to do so. This will typically be because processing is necessary to enter into or perform a contract, to comply with a legal obligation, or for the legitimate interests of the Partnership, provided that those interests are not overridden by the rights and freedoms of the individual. Where required by law, personal data will be processed on the basis of consent.
Personal data is used only for the purposes for which it was collected, or for purposes that are closely related and reasonably expected in the context of our professional activities.
HOW WE USE PERSONAL DATA
QPArchitecture uses personal data to deliver architectural and professional services, to manage client and consultant relationships, to communicate effectively, to comply with statutory and regulatory duties, and to manage the day-to-day operation of the practice. Personal data may also be used to improve our services, ensure information security, prevent fraud, and understand how individuals interact with our communications and digital platforms.
Where personal data is processed for legitimate interests, QPArchitecture balances those interests against the rights of individuals and will not process data where the impact on an individual would be disproportionate. Individuals have the right to object to such processing in accordance with data protection legislation.
DATA STORAGE AND TRANSFERS
Personal data is stored securely using appropriate technical and organisational measures. Data is primarily stored within the United Kingdom and the European Economic Area. Where third-party systems or service providers are used, including cloud-based services, QPArchitecture ensures that appropriate safeguards are in place to protect personal data, including contractual protections and recognised data transfer mechanisms where data may be accessed outside the UK or EEA.
DATA RETENTION
QPArchitecture retains personal data only for as long as necessary to fulfi l the purposes for which it was collected, including legal, contractual and professional obligations. Retention periods are determined by the nature of the information and the context in which it is used. As a general principle, personal data will not be retained for longer than necessary, and in most cases no longer than six years, unless a longer period is required by law or professional guidance. Personal data that is no longer required is securely deleted or anonymised
INDIVIDUAL RIGHTS
Individuals have rights in relation to their personal data under data protection legislation. These include the right to request access to personal data, to request correction of inaccurate or incomplete data, to request erasure where applicable, to restrict or object to certain processing activities, and to request the transfer of personal data in a commonly used electronic format where legally applicable.
There are certain limitations and exemptions to these rights, and QPArchitecture will always respond in accordance with applicable law
